Privacy Policy

This policy explains what personal data we collect through this site, why we collect it, how long we keep it and what rights you have over it. It applies to visitors in the Republic of Moldova.
1. Who the data controller is
The controller of your data is „Prizma Calității” SRL, with its registered office at MD-2025, str. Ion Inculeț 105, mun. Chișinău, Republica Moldova, IDNO / fiscal code 1008600029671, trading under the commercial name Dikodis and operating this site under the MBot brand (hereinafter "MBot", "we").

We process data in accordance with Law no. 195/2024 on personal data protection, which adopts the standards of Regulation (EU) 2016/679 (GDPR).
2. What data we collect
We collect only the data we need in order to reply to you. Specifically:
- Data you give us through the audit form: name, email address, phone number, company name.
- Your answers to the qualifying questions: where you are losing time, your weekly volume of calls, leads or documents, your average contract value and the system you use today.
- The monthly loss estimate, calculated automatically from the answers above.
- Minimal technical data: IP address, browser and device type, pages visited. The IP address is also used to rate-limit repeated form submissions.
We do not collect special categories of data (health, ethnic origin, political opinions, trade union membership, biometric data or sex life) and we ask you not to send them to us through the form.
3. Why we process the data and on what basis
- To contact you and prepare the audit you asked for — basis: steps taken at your request prior to entering into a contract (Law no. 195/2024).
- To keep the site working and prevent abuse of the form — basis: our legitimate interest in protecting our infrastructure (Law no. 195/2024).
- To send you commercial communications, if you asked for them — basis: your consent (Law no. 195/2024), which you can withdraw at any time.
- To meet accounting and tax obligations, if you become a client — basis: legal obligation (Law no. 195/2024).
For individuals in the Republic of Moldova, the equivalent bases are those set out in Law no. 195/2024.
4. The loss estimate is not an automated decision
The figure the form shows you is the result of simple arithmetic, based on your answers and on market averages. It produces no legal effects and does not similarly significantly affect you: it does not decide whether we work together, it does not set a price and it is not used to score you. Any conversation that follows is with a person.
5. How long we keep the data
- If you do not become a client: 24 months from our last contact, after which we delete the data.
- If you become a client: for the duration of our work together, plus the archiving periods that law imposes for accounting records.
- Technical data and logs: 12 months at most.
- Consent for commercial communications: until the moment you withdraw it.
6. Who we share the data with
We do not sell your data and we do not rent it to anyone. We disclose it only to the following categories of recipients, strictly to the extent necessary:
- Our website hosting and delivery provider.
- The email service provider through which we reply to you.
- Zoho Corporation, the provider of the customer relationship management (CRM) platform your audit request lands in.
- Our accountant and, where relevant, legal advisers, once you become a client.
- Public authorities, where the law obliges us to provide information.
These providers act as processors, under contracts that require them to process the data only on our instructions. On request, we can give you the current list of the providers we use.
7. Transfers outside your country
Some of the providers above are established, or keep their servers, outside the European Economic Area or outside the Republic of Moldova. Where that is the case, the transfer only happens under an adequacy decision or appropriate safeguards — normally the standard contractual clauses adopted by the European Commission. You can request a copy of the applicable safeguards by writing to our contact address.
8. Your rights
You have the following rights over your data:
- The right of access — to find out what data we hold about you and receive a copy.
- The right to rectification — to have inaccurate or incomplete data corrected.
- The right to erasure — to have the data deleted, where we no longer have a legal reason to keep it.
- The right to restriction of processing.
- The right to portability — to receive your data in a structured, commonly used format.
- The right to object — to object to processing based on our legitimate interest.
- The right to withdraw consent at any time, without affecting the lawfulness of processing carried out before the withdrawal.
You can exercise any of these rights by writing to us at support@dikodis.com. We reply within one month of receiving your request. Exercising your rights is free of charge.
9. Your right to lodge a complaint
If you are unhappy with how we handle your data, you can tell us directly — we would rather fix it ourselves. You are, however, always entitled to go to the supervisory authority:
- The National Center for Personal Data Protection (CNPDCP), datepersonale.md.
10. Cookies
The site sets no cookies. The language you are reading in comes from the page address, not from anything stored on your device.
The audit form additionally keeps a draft of the answers you type — including your name, email, phone number and company name — in your own browser, so that reloading the page by accident does not lose them. The draft stays on your device for the length of your browsing session and is deleted the moment the form reaches us. You can also remove it yourself by closing the tab or clearing the site's data in your browser.
At present the site loads no traffic analytics and no marketing cookies, so we ask you for no consent and you will see no cookie banner. If we ever enable such tools, they will load only after you agree through a banner, and a link will appear in the site footer letting you change your choice at any time.
11. Data security
We transmit data over encrypted connections and apply technical and organisational measures proportionate to the risk: access limited to the people who need the data to do their job, providers who give contractual security guarantees, and periodic review of those measures. No system is entirely invulnerable, however; if a security breach occurs that may affect your rights, we will inform you and notify the competent authority within the deadlines the law sets.
12. Changes to this policy
We may update this policy when the way we work, or the legal requirements, change. The date of the last update is shown at the top of this page. If a change materially affects you, we will tell you by email where we have your address.
